This notice explains how LEDGER ACTION LIMITED uses information when your business requests or buys LedgerAction credits. It supplements the portal privacy notice and is separate from the creditor's handling of payments for invoices you owe.

Information we use

We use your account name and email, company and billing address, chosen pack, order reference, agreed price and tax treatment, payment status, credit history, support correspondence, and records of your acceptance and recurring authorisation. Information comes from you, authorised colleagues in your workspace, and the payment provider's confirmation or failure messages.

For recurring purchases we retain Stripe customer and payment-method references so that authorised future payments can be requested. You enter card details on Stripe's payment page. LedgerAction's checkout integration does not store your full card number or card security code.

Why we use it

We use the information to provide quotes and purchased credits, issue receipts, manage authorised renewals, investigate payment problems and protect accounts from misuse. Where you are personally a contracting party, processing necessary for that contract relies on contract. When you represent a company, our legitimate interests are administering the company's purchase, preventing fraud and keeping reliable agreement records. Applicable tax and accounting records are also kept to meet legal obligations.

Required company, contact and order details allow us to identify the purchasing workspace and account for its payment. Without them we cannot complete a paid purchase. You can use the available free trial without authorising a card payment. Purchase emails and payment alerts are service communications; a purchase or privacy acknowledgement does not subscribe you to marketing.

Who receives information

Authorised company administrators can view their workspace's orders and credit history. LedgerAction's authorised administrators handle support, reconciliation and billing. Our hosting and storage infrastructure is provided through OpenAI Sites and Cloudflare, and Resend delivers website emails.

Stripe receives the information needed to process a payment, including the purchaser's email, order amount and payment references. Stripe also collects information directly on its payment pages for payment processing, authentication, fraud prevention and its own legal duties. Read Stripe's privacy policy for its handling of that information. Banks and professional advisers may receive relevant records where necessary for reconciliation, accounts or legal duties.

Service providers may process information outside the UK. Their applicable processing terms and transfer safeguards govern those transfers. Contact us for details or copies of the safeguards applicable to your information. We do not sell payment information.

How long we keep it

We keep order, payment, credit and agreement records for the periods needed to provide the service, meet tax and accounting duties, deal with payment disputes, and establish or defend claims. We consider the record type, applicable legal period and any unresolved dispute before deletion. Closing a login does not automatically delete financial records. Ask us for the retention criteria applicable to a particular record.

Your choices and rights

You can request access, correction and, where applicable, deletion, restriction or portability of your personal information. You can object to processing based on legitimate interests. These rights depend on the circumstances. You can withdraw any separate consent where processing relies on it. Cancelling future card purchases is available in Automatic & monthly credits; it does not remove financial records we still need to keep.

Contact accounts@ledgeraction.co.uk for privacy requests or concerns. You may also complain to the Information Commissioner's Office.

Payment confirmation automatically updates credits using the paid amount, order reference and purchasing workspace. Suspected mismatches, refunds and disputes are referred for review. Contact us if you believe a payment or credit decision is incorrect.
